Saving IT Projects with SharePoint Deliverables Toolset

A cursory review of audit findings from troubled State IT projects showed that one of the biggest challenges on large IT projects is managing the review and approval of Deliverables from the Contractor. With the possibility of hundreds of documents that need to be reviewed by dozens of reviewers spread throughout an organization, the State is often at risk of not meeting its obligation to review deliverables using rigor and within contractually-mandated durations.

The process of managing deliverables successfully requires the following:

  • Precise tracking of dates and activities
  • Managing review findings with multiple reviewers
  • Accurately reporting status
  • Performing root cause analysis when issues arise.

Managing this information in separate spreadsheets, documents, and databases is not only tedious but prone to errors that can lead to:

  • Missed milestones
  • Incomplete reviews
  • Acceptance of inadequate deliverables

This session will explore the easy-to-use and fully configurable SharePoint Deliverable toolset developed by Rick and CROS’s SharePoint consultant, Kiefer Consulting. The suite of tools uses SharePoint 2013 and customized forms, workflows, and reports to address the pitfalls and pain points that frequently arise throughout the Deliverable Management lifecycle.

SharePoint Administrator and Deliverables lead for the State Board of Equalization’s (BOE) Centralized Revenue Opportunity System (CROS) Project

In his 15 years as a State employee and IT consultant, Rick has worked on many large IT System implementation projects, including the Child Welfare Services/Case Management System Project, the California Medicaid Management Information System Project, and the Enterprise Data to Revenue Project. He has worked on all aspects of Deliverables Management, including developing processes, procedures, and tools using SharePoint lists and libraries. On the CROS Project he deploys SharePoint tools and libraries that map to the project’s processes, manage artifacts, and provide reporting that complies with the California Project Management Methodology. He is currently overseeing the development of the processes and SharePoint toolset that will help CROS to meet its contractually-mandated responsibilities to receive, review, and approve Deliverables on time and on schedule.
